More than 200 people are working at Mito, in different fields, groups, and business units, but there’s one person without whom life would stop at the office: our Office Manager, whom we have to replace for two years. It makes us a little sad and extremely happy at the same time. An Office Manager is flexible and solution-oriented, up to the widest variety of challenges you can imagine, improvising more than a stand-up comedian. Some would freak out from a job like this, but others regularly dress up as a Swiss army knife or MacGyver for Halloween, or if not, they would really really love to. If the latter description fits you, and you not only enjoy a life like this, but you’re also good at it, please read further.
Your tasks will be:
- Coordinating the office team (reception and administration, 2-3 people), supporting them, supervising them.
- Being in charge of the reception, where our clients and colleagues need support, kindness, and the occasional Advil or bandaids.
- As administration is handled by the office team as well, you will be managing physical pen-and-paper documents, digital signatures, and contracts, also assisting the Legal and Finance teams with it.
- Maintaining up-to-date records and cash management.
- Managing smaller and larger purchases (such as those fun Swedish furniture pieces), organizing maintenance and repair work, and liaising with various service providers, operations, and cleaning staff. If any service provider fails to meet expectations, it will be your responsibility to switch partners. You’ll have the authority to do so, so it’s important to be able to maintain a firm, yet friendly approach.
- As we enjoy hosting workshops, and our clients love visiting us, it will be your responsibility to choose tasty snacks that will satisfy everyone’s appetite.
- Working with a large and diverse team. It is exciting because you’ll never be bored—but also a bit challenging for the same reason. One thing we can promise: whatever we ask of you, it will always be done with kindness.
- Working full-time on a fixed schedule, with the reception open from 9 AM to 5 PM.
To be a perfect fit for this role, we need you to have:
- at least 2-3 years of experience as an Office Manager.
- a couple of years of experience in team management is a nice-to-have, but if you haven’t had the chance to lead yet, that’s perfectly fine too—what matters most is that you have strong coordination skills and the motivation to grow into a leadership role.
- self-reliance, proactivity, and accountability. You’re in charge of the office and the office team.
- a mindset where multitasking sounds like fun, even when it involves orchestrating complex projects and processes.
- the ability to tackle new issues with ease and communicate effectively while resolving them.
- a strong sense of precisoin (and the ability to spot typos—like the one here!).
- a fondness for the MS Office Suite and the Google Suite—maybe even more than The Office, the series.
- a client-oriented, helpful, and kind attitude. Many people will meet you and your team first when they hop out of the elevator and end up at the reception desk.
- native Hungarian and fluent English skills. We have foreign colleagues and clients, so across the company, we’re pretty much bilingual. If you’re comfortable reading all this, have a feeling that hugzaety is not a valid English word, and can make yourself heard and understood in English, then you should be fine.
- availability for a fixed term / maternity cover position for the next 2 years.
